Top Manufacturing organization in Irvine is in need of a CONTRACT Executive Assistant to support the CEO and some direct reports. This is a 5-6 month contract, IN OFFICE in IRVINE CA.
Duration: 5 - 6 months
* 4+years of experience in an Executive Assistant role
Excellent proficiency in Microsoft Office Suite
Heavy calendar management
Enhance executives' effectiveness by providing management support, screening and routing correspondence and incoming calls, welcoming guests and customers, in person or on the telephone.
* Answering or directing inquiries.
* Drafting letters and documents.
* Planning and scheduling meetings, conferences, teleconferences, and travel.
* Submitting Foreign Travel Notifications to company clearance holder.
* Also trip debriefing upon return.
* Screening & routing correspondences and incoming calls.
* Welcoming guests and customers in person or on the telephone.
* Answering or directing inquiries, drafting letters and documents, researching collecting and analyzing information. Maintaining and managing CEO and President's calendars as well as master schedule.
* Gathering and analyzing information necessary to produce various reports for the CEO and President.
* Researching aerospace and defense companies or a specific country military data via CRM.
* Developing historical reference by implementing and utilizing filing and retrieval systems.
* Recording meeting minutes.
* Managing customer contacts through the CRM system, developing close report with contacts established by Executives to generate new opportunities or repeat business.
* Accompany CEO on specific sales/show opportunities engaging directly with customers.
